 2.2 MS OFFICE-2003 ONWARDS (WORD,EXCEL.MS ACCESS,POWERPOINT,PAINT)

4. Discuss MS office 2003 onwards.
                                                            Or
What do you understand by MS Word, MS Excel, MS Access, MS PowerPoint and MS Paint?          Discuss in detail.
Ans. Introduction- Microsoft word is a software that helps us to create neat and attractive                documents easily and quickly. We shall find its multi-facilitated capability quite handy in drafting letter and official letter preparing mailing lists and reports. As compared to a typewriter, a word processor produces better looking documents which can be stored in our computer and reused  easily whenever we need them. Features like spell and grammar check, easy insertion of new sentences and paragraphs in the already entered text page numbering etc. make the functioning of a word processor. We can also store important documents in its hard disk instead of typing them again and again.
Microsoft Word also allows us to present the information in our document in tabular form       i.e., with in Tables.
                                                     1. WORD-PROCESSING
Word processor is a software package that enables us to create, edit, print and save documents for future retrieval and reference. Creating a document involves typing by using a keyboard and saving it. Editing a document involves correcting the spelling mistakes, if any, deleting or moving words, sentences or paragraphs.
Advantage of Word Processing- One of the main advantage of a word processor over a conventional typewriter is that a word processor enables us to make changes to a document without retyping the entire document.
Features of Word Processing- Most word processor available today allows more than just creating and editing documents. They have wide range of other tools and functions, which are used in formatting the documents. The following are the main features of a word processor.
         1.    Text is typing into the computer, which allows alterations to be made easily.
         2.    Paragraph text can be inserted, mended or deleted.
         3.    Margins and page length can be adjusted as  desired.
         4.    Spelling can be checked and modified through the spell check facility.
         5.    Multiple documents/files can be changed.
         6.    Multiple copies of letter can be generated with different addresses through the mail merge             7.     facility.

                                                         2. MS-EXCEL
Introduction- You already know that computers were originally invented do help people to do calculations. These early machines called mainframes had the ability to perform huge calculations in no time, but these machines were too costly and mammoth in size to be purchased by people for personal use. When personal computers(PCs) were developed, people started using computer programmes called  spreadsheets to perform calculations.
Spreadsheet/Worksheet- A spreadsheet is like a large form with a very large number of rows and columns. The terms spreadsheet and worksheet are often used interchangeably. But specially, spreadsheet refers to the computer programme whereas worksheet refers to the document you create in a spreadsheet programme.
A mark sheet is a typical example of a spreadsheet. It has rows and columns in which names of subjects and marks of students are entered.
              A Sample of Spreadsheet
              Name: Ravi
              Class: X
Workbook-A Workbook is a collection of many worksheets. Whenever you save a file in Excel means you are saving a workbook.
How is spreadsheet useful in calculation?-Calculating large figures arranged in tabular forms is very tedious. On most occasions, we use calculators to perform these calculations, If there is any change in figures, the calculations have to be done afresh. In a Spreadsheet program, the computer recalculate automatically whenever there is a change in figures. Besides this, many other features of spreadsheet programs are available in the market. Of these, MS-Excel is one of the most popular. Excel is a spreadsheet program with a workbook-style format. It has several worksheets, like the pages in a notebook. It provides you with tolls for calculating and analyzing numeric etc.
Starting MS-Excel-You can start MS-Excel by clicking on the start button, then on all programs and finally on MS-Excel. Once Excel is loaded, you will see the opening screen.
Component of MS-Excel Screen-The application window consists of the following components.
          1.  Title Bar : It displays the name of the application(Excel) and the worksheet.
          2.  Menu Bar : It displays the various options available in the main menu bar of Excel.
          3.  Standard Tool Bar : It has almost the same option as word : New, open, save, print, magnify,                text, cut ,copy ,paste etc.
          4.  Formatting Tollbar : This toolbar allows you to select font, font size and apply such features                as bold, italics, underline etc. and align text to the left, right or centre.
          5.  Formula Bar : It displays the formula/operation you are trying to apply to different cells.
          6.  Status Bar : It Shows the status of the spreadsheet program.
          7.  Active Worksheet Area : This active worksheet area consist of a grid of 256 columns and                       16,384 rows. Columns are named or marked by letters running horizontally along the top of                   the worksheet. Numbers running vertically along the left hand side of the worksheet mark the                rows. Columns begin with a letter A and continue Z. Therefore, they are labelled as follows                    AA, AB and So on up to IV(Columns 27 through 256). A single worksheet contains more than                four million cells. The cell outlined with a dark border is the active cell, i.e., the cell pointer                   lies in that cell and you can make entries there.
